What a managed veterinary uniform program does

Veterinary groups are rarely uniform in their uniforms. One clinic wants navy, another has its own logo, a third has staff who have been buying their own scrubs for years. The program has to accommodate that rather than flatten it.

Employee allowances

Assign an annual, anniversary or new-hire allotment per person. Staff choose within budget and can pay personally for anything above it.

Role-based ordering

Each role sees only the items and colors approved for it, with the right logo. Compliance is enforced by the store, not by a memo.

On-demand embroidery

Your logo is applied when the order is placed, so there is no pre-decorated inventory sitting in a closet and nothing to backorder.

Direct-to-employee delivery

Orders ship to the employee’s door, or to the workplace if you prefer. No one is distributing scrubs from a supply room.

Multi-site control

Unlimited locations, departments, roles, colors, logos and billing codes on one platform, with site leaders able to run their own storefront.

Employee support included

Our U.S.-based team handles exchanges and returns directly with your staff, including pre-paid return labels.

Who it’s built for

Uniform Stores is a proud sponsor of the Veterinary Hospital Managers Association (VHMA) as has helped multiple veterinary practices and groups streamline their uniform programs.

  • Multi-site veterinary groups where each clinic runs differently

  • Animal hospitals outfitting DVMs, technicians, assistants, and reception

  • Emergency and specialty practices with 24-hour shift coverage

  • Corporate veterinary groups acquiring practices with existing brands

  • Clinics that need inclusive sizing across a wide range of body types

  • Groups that need scrubs with anti-shed, fluid repellent, and comfortable stretch properties

How it works

  1. Scope the program

We map your roles, locations, color standards, logos and budget per employee — including how uniforms are coded by department and billed by cost center.

  2. Build your store

We curate the assortment from 22+ scrub brands plus outerwear and lab coats, digitize your logo, and set up role-based views. A dedicated team does the build, not your staff.

  3. Set allowances

Configure stipends by role, location or hire date. Employees can add personal payment for anything beyond the allowance.

  4. Employees order

Staff log in, see only what they are approved for, and order in their own size on their own time. Orders arrive in 14–21 calendar days.

  5. We handle the rest

Embroidery, fulfillment, exchanges, returns and employee questions come to us. Ongoing maintenance of the store does, too.

Frequently Asked Questions

What is a veterinary uniform program?

A veterinary uniform program is a managed system for outfitting your staff in approved apparel. Uniform Stores builds your organization a private online store, sets each employee’s allowance and the items their role is allowed to order, applies your logo on demand, and ships directly to the employee. Your team does not handle procurement, sizing, distribution or returns.

How much does a veterinary uniform program cost?

The Essential program has no monthly platform fee; you pay a one-time $60.00 fee to digitize your logo for embroidery. Embroidery is $8.00 per item and personalization such as a name or credentials is $5.00 per line, with no order minimums. Enterprise pricing depends on program size and complexity. What each employee can spend is set by the allowance you configure, so your cost is predictable per person, per year.

Can we give employees a scrub allowance instead of buying uniforms for them?

Yes. Administrators assign allotments or stipends per employee — annual, on an anniversary, or at onboarding. Staff choose their own sizes and styles within that budget, and can pay personally for anything above it. You keep a fixed cost per person while employees get the fit and style they actually want.

How do you handle multiple locations, departments and logos?

One platform handles unlimited locations, departments, job roles, colors, logos and billing codes. Role-based ordering means each employee sees only what their role is approved to order. Regional or site leaders can be given control over their own storefront while central finance keeps budget oversight.

How long does it take to receive embroidered scrubs?

Orders are delivered within 14–21 calendar days. If you choose the ship-to-workplace option, add up to 5 additional days, since those orders are aggregated and shipped once a week. Expedited shipping is not available on embroidered orders. Because decoration happens on demand rather than in advance, you do not carry pre-embroidered inventory or run into backorders on it.

Who handles exchanges and returns for employees?

We do. Our U.S.-based customer service team works directly with your employees, including sending pre-paid return labels, so your HR and operations staff are never in the middle of a sizing exchange. Employees can reach us by live chat on your uniform site, email or phone. Embroidered items cannot be returned.

Can each clinic choose its own brands and colors?

Yes. Each location can customize its storefront with the brands, products, colors and logos it wants, all inside one program. Companion Pet runs 32 locations across 6 states this way, each with its own settings.

Do employees have to pay up front and get reimbursed?

No. Employees order against the allotment you assign, so there is no out-of-pocket cost and no reimbursement paperwork. They can pay personally only if they choose something above their allowance.
