Healthcare Uniform & Scrubs Programs

A private online store for your organization, an allowance for every employee, and your logo embroidered on demand — without your team touching procurement, sizing or returns.

What a managed healthcare uniform program does

Most healthcare uniform programs fail in the same place: not the buying, but everything after it. Sizing spreadsheets, reimbursement forms, a box of scrubs on someone’s desk, an exchange that lands on the practice manager. A managed program moves all of that off your team.

Employee allowances

Assign an annual, anniversary or new-hire allotment per person. Staff choose within budget and can pay personally for anything above it.

Role-based ordering

An RN sees only the colors approved for nursing with the right logo. Front-office staff see their polos. Compliance is enforced by the store, not by a memo.

On-demand embroidery

Your logo is applied when the order is placed, so there is no pre-decorated inventory sitting in a closet and nothing to backorder.

Direct-to-employee delivery

Orders ship to the employee’s door, or to the workplace if you prefer. No one is distributing scrubs from a supply room.

Multi-site control

Unlimited locations, departments, roles, colors, logos and billing codes on one platform, with site leaders able to run their own storefront.

Employee support included

Our U.S.-based team handles exchanges and returns directly with your staff, including pre-paid return labels.

Who it’s built for

Uniform Stores has served healthcare organizations since 1994 and is an MGMA Preferred Scrubs Provider and Corporate Member. Programs run from single clinics of 10 employees to systems of more than 20,000.

  • Hospitals and health systems outfitting clinical and non-clinical staff across campuses

  • Multi-site medical groups and specialty practices with department-specific color coding

  • Laboratories, diagnostics and imaging networks with dispersed teams

  • Urgent care and ambulatory networks opening locations on a schedule

  • Home health and mobile care teams who never pass through a central office

How it works

  1. Scope the program

We map your roles, locations, color standards, logos and budget per employee. This is where color-coding by department and billing by cost center get decided.

  2. Build your store

We curate the assortment from 22+ scrub brands plus outerwear and lab coats, digitize your logo, and set up role-based views. A dedicated team does the build, not your staff.

  3. Set allowances

Configure stipends by role, location or hire date. Employees can add personal payment for anything beyond the allowance.

  4. Employees order

Staff log in, see only what they are approved for, and order in their own size on their own time. Orders arrive in 14–21 calendar days.

  5. We handle the rest

Embroidery, fulfillment, exchanges, returns and employee questions come to us. Ongoing maintenance of the store does too.

Frequently Asked Questions

What is a healthcare uniform program?

A healthcare uniform program is a managed system for outfitting clinical and support staff in approved apparel. Uniform Stores builds your organization a private online store, sets each employee’s allowance and the items their role is allowed to order, embroiders your logo on demand, and ships directly to the employee. Your team does not handle procurement, sizing, distribution or returns.

How much does a healthcare uniform program cost?

The Essential program has no monthly platform fee; you pay a one-time $60.00 fee to digitize your logo for embroidery. Embroidery is $8.00 per item and personalization such as a name or credentials is $5.00 per line, with no order minimums. Enterprise pricing depends on program size and complexity. What each employee can spend is set by the allowance you configure, so your cost is predictable per person, per year.

Can we give employees a scrub allowance instead of buying uniforms for them?

Yes. Administrators assign allotments or stipends per employee — annual, on an anniversary, or at onboarding. Staff choose their own sizes and styles within that budget, and can pay personally for anything above it. You keep a fixed cost per person while employees get the fit and style they actually want.

How do you handle multiple locations, departments and logos?

One platform handles unlimited locations, departments, job roles, colors, logos and billing codes. Role-based ordering means an RN sees only the scrub colors approved for nursing with the correct logo, while front-office staff see the polos they are allowed to order. Regional or site leaders can be given control over their own storefront while central finance keeps budget oversight.

How long does it take to receive embroidered scrubs?

Orders are delivered within 14–21 calendar days. If you choose the ship-to-workplace option, add up to 5 additional days, since those orders are aggregated and shipped once a week. Expedited shipping is not available on embroidered orders. Because decoration happens on demand rather than in advance, you do not carry pre-embroidered inventory or run into backorders on it.

Who handles exchanges and returns for employees?

We do. Our U.S.-based customer service team works directly with your employees, including sending pre-paid return labels, so your HR and operations staff are never in the middle of a sizing exchange. Employees can reach us by live chat on your uniform site, email or phone. Embroidered items cannot be returned.

How quickly can we outfit a new hire or a new clinic?

New employees are added to the store and can order the moment they are onboarded, within the allowance set for their role. Colorado Springs Cardiology used their program to get 40 new employees into uniform for a new clinic opening.

Do you work with our group purchasing or promotional products partner?

Yes. Uniform Stores partners with promotional products distributors who manage the client relationship while we run the platform, apparel supply, decoration and fulfillment behind it. Staples Promotional Products used this model to deliver a scrub program for a Fortune 500 healthcare provider with more than 20,000 employees.
